# Service reports that write themselves, one for every unit

Your technician services six units on a rooftop, then drives to the next job. Back at the office, someone turns their notes, photos and a signature on a scrap of paper into a report for the customer. It goes out days later, it looks different depending on who typed it, and when the customer asks what was done to unit 4 last spring, the answer is in an email thread somewhere.

For a service business, the report is the proof of the work and often the trigger for the invoice. Here's how I set up service reports that write themselves on site, one for every unit, using [Zoho FSM](https://go.zoho.com/ptZ), Zoho's field service management app.

## Start with what your customer needs to see

Before touching any software, I sit with the people who sell, dispatch and invoice, and agree what a finished report must show: which readings, which checks, which photos, whose signature, and what triggers a follow-up visit. Then I agree the same for each type of equipment you service, because a boiler and a rooftop unit don't share a checklist.

That list becomes the design. The software only enforces it.

## How I set it up in Zoho FSM

1. **Every unit is an asset.** Each piece of equipment gets its own record, with its location, purchase and warranty dates, and documents such as manuals and service agreements attached. Zoho describes how [assets](https://www.zoho.com/fsm/assets.html) keep the full service history of each unit on one screen, including components grouped under a parent unit.
2. **Every service gets a job sheet.** A [job sheet](https://www.zoho.com/fsm/jobsheets.html) is a structured checklist the technician fills on the mobile app: the readings, the checks, the photos. You can build one for each service you offer and attach several to a job, so the technician is guided through exactly what that equipment needs, and nothing is forgotten.
3. **The report is written on site.** Zoho FSM [service reports](https://www.zoho.com/fsm/service-reports.html) are prefilled with the job's details, and the technician adds comments, photos and signatures from both the technician and the customer. The report can go to the customer by email from the app before the van leaves.
4. **It looks like your company.** [PDF templates](https://help.zoho.com/portal/en/kb/fsm/customize-field-services/articles/pdf-template) set the logo, layout, fields and signature block for service reports and job sheets, so every report looks the same, whoever wrote it.
5. **Recurring maintenance schedules itself.** Maintenance plans create recurring work orders and appointments for each asset at the interval you choose.
6. **Where the standard layout stops, I add a small layer.** Some customers want a separate PDF for every unit, filed on that unit's record, or a monthly roll-up per site. I generate those automatically from the same data, so the technician still fills everything in once.

Any connection I add follows the same safeguards: it adds and never overwrites or deletes what your team entered, every report carries matching references to its job and unit so it can be traced both ways, anything incomplete or unusual goes to a person, and if a run fails, it stops and someone is alerted.

## What it costs: priced by visits, not by technicians

Prices as of October 2026, from [Zoho FSM's pricing page](https://www.zoho.com/fsm/pricing.html) and [pricing FAQ](https://help.zoho.com/portal/en/kb/fsm/faqs/pricing-and-subscription):

- **You pay for appointments, not users.** Standard and Professional allow up to 200 users and Premium up to 500, and Zoho says more are available through support at no extra charge. Adding a technician doesn't add a license.
- **Job sheets and asset management** are in the Professional edition and above. Professional starts at $35 a month billed annually ($45 monthly) for 60 appointments a month, and $60 billed annually ($75 monthly) for 100.
- **A free edition** covers 30 appointments a month and up to 20 users, with service reports included. It's enough to try the workflow, but without job sheets or assets.
- **A buffer, not a cliff.** When you reach your appointment limit, Zoho adds credits equal to 10% of your plan for that billing cycle.
- **Trial:** 15 days of the Premium edition, with no credit card required.

A worked example. Assume four technicians and about 100 appointments a month, each covering three units on average. Professional at 100 appointments costs $60 a month billed annually. Today, the office turns technician notes into reports: say 10 minutes per unit, or about 50 hours a month, plus the days customers wait for paperwork. Even if your technicians already use a generic form app, what you gain is a report per unit, filed against that unit's history, and sent before the van leaves.

## Traps to avoid

- **Cancelled visits still count.** Zoho deducts cancelled and terminated appointments from your monthly allowance, and a multi-day job counts once per day worked. Size your plan on real scheduling data.
- **Unused appointments don't roll over,** even on an annual plan. Pick the tier you actually use most months.
- **Checklists nobody finishes.** Long job sheets get skipped. Keep them to what the customer or the law actually needs, and make the critical items mandatory.
- **Assets that don't match reality.** Load your equipment list carefully at the start. A report filed against the wrong unit is worse than no report.

## Common questions

### Will my technicians accept it?

Usually, yes, because it replaces paperwork they dislike. The job sheet tells them what to check, and the report is done when they leave the site, not in the evening.

### What if a customer disputes the work?

Each report carries the readings, photos and the customer's signature, filed against the exact unit and date. That's far stronger than a technician's memory.

### Do we have to move everything at once?

No. I usually start with one service type and one team, confirm the reports are right, then roll out the rest.

### What if it doesn't pay off?

There's no per-technician commitment, you can cancel back to the free edition at any time, and your data stays yours.
