# Onboarding new clients without chasing paperwork

A new client says yes. Then the paperwork starts: an intake form sent by email, a contract attached as a PDF, a reminder, another reminder, a scanned signature that arrives a week later, and someone copying the details into the CRM by hand. Meanwhile the client is waiting to start, and your team is chasing instead of serving.

Onboarding is the first real experience a client has of working with you. Here's how I turn it into one smooth path, from the first form to a signed agreement filed on the client's record, using Zoho Forms, [Zoho CRM](https://go.zoho.com/jAZ) and [Zoho Sign](https://go.zoho.com/hKo).

## Start with the journey, not the forms

Before building anything, I map what has to happen between "yes" and "ready to start": what you need to know about the client, which documents they sign, who reviews what, and what counts as complete. Most onboarding pain comes from steps nobody owns, such as a missing document that no one notices until the first day of work.

The result is one written checklist that both your team and the client can follow, with each step owned by a named person or by the system.

## How I connect it

1. **One intake form, filled once.** The client fills a single Zoho Forms form. When you already know something about them, the form is prefilled from the CRM, so they're never asked twice. Uploaded files, such as IDs or certificates, travel with the entry.
2. **The CRM record updates itself.** Each submission goes straight into Zoho CRM. According to [Zoho's guide](https://help.zoho.com/portal/en/kb/forms/integrations/zoho-crm/articles/overview-zoho-crm-integration), Zoho Forms can add new records, update existing ones and prefill forms from CRM data, so the client's record stays complete without anyone retyping it.
3. **The agreement goes out with their details already in it.** The contract is a Zoho Sign template. Its fields fill from the CRM record, and it's sent for signature with one click from the record. Zoho Sign can also be connected to the form itself, sending the signing link by email or taking the client straight to the document when they submit, as described in [Zoho Sign's guide](https://help.zoho.com/portal/en/kb/zoho-sign/integrations/zoho-apps/zoho-forms/articles/forms-integration).
4. **The signed copy lands on the record.** With the free [Zoho Sign extension for Zoho CRM](https://www.zoho.com/blog/sign/zoho-crm-electronic-digital-signature-extension.html), signed documents are stored back in the CRM, and the record shows where each one stands.
5. **Reminders replace chasing.** Unsigned documents get automatic reminders. If something is still missing after a set time, a person on your team is told, with the client's name and what's outstanding.
6. **Your team sees one status.** Every client shows a clear stage, such as intake received, agreement sent, signed, ready to start, so nobody has to ask around.

As with every integration I build, it adds and never overwrites or deletes data your team has entered, every record carries matching references in each system so documents and entries can be traced both ways, exceptions go to a person rather than through automatically, and if a step fails, it stops and someone is alerted.

## What it costs: a few dollars per client, not another big system

Prices as of October 2026, from the vendors' own pricing pages:

- **Zoho Forms:** even the free plan includes the Zoho CRM integration, but it's capped at 500 submissions a month. Paid plans start with Basic at $10 a month billed annually ($12 monthly) for one user and 10,000 submissions a month ([Zoho Forms pricing](https://www.zoho.com/forms/pricing.html)).
- **Zoho Sign:** Standard is $10 per user a month billed annually ($12 monthly), with 25 envelopes per user a month. Professional is $16 per user a month billed annually ($20 monthly), with unlimited envelopes, though agreements sent automatically from a form use Zoho Sign credits: 5 per envelope, at $0.10 a credit, sold in packs of 500 that don't expire ([Zoho Sign credits](https://www.zoho.com/sign/zoho-sign-credits.html)). Connecting Zoho Sign to Zoho Forms needs Professional or above ([Zoho Sign pricing](https://www.zoho.com/sign/pricing.html)).
- **What's not charged:** the Zoho Sign extension for Zoho CRM is free, and the people you send documents to [don't need an account or a subscription](https://www.zoho.com/sign/pricing.html) to sign. Only the people sending documents need one.
- **Trials:** Zoho Sign has a 14-day free trial with no credit card required.
- **If you use several Zoho apps,** [Zoho One](https://go.zoho.com/Yg5) bundles Forms, CRM and Sign in one subscription. It's worth comparing before buying apps one by one.

A worked example. Assume one person handles onboarding for 20 new clients a month, and you already use Zoho CRM. Zoho Forms Basic and one Zoho Sign Professional license come to $26 a month billed annually, plus about $10 a month in Zoho Sign credits if all 20 agreements go out automatically from the form, bought in $50 packs that don't expire. Today that person emails forms, sends PDFs, chases signatures, then files the documents and updates the CRM. At a conservative 45 minutes per client, that's 15 hours a month. Even if you already pay for an e-signature tool, the real saving is the chasing and the copying, plus clients who start sooner.

## Traps to avoid

- **Too many forms.** Three forms sent in sequence get abandoned. One form with sections, prefilled where possible, gets finished.
- **Duplicate clients.** Decide how a returning client is recognized, usually by email, so the form updates their existing record instead of creating a second one.
- **Contract versions.** Keep agreements as templates with an owner, so nobody sends last year's terms from an old folder.
- **Sensitive documents.** Limit who can see uploaded IDs and signed contracts in the CRM, and keep only what you need.

## Common questions

### Will our clients find this complicated?

No. They fill one form and sign on their phone or computer, without creating an account. For most clients it's simpler than printing, signing and scanning.

### Does our team have to learn a new system?

Very little. They keep working in the CRM they already use. The difference is that the information and the signed documents arrive there by themselves.

### Are electronic signatures legally valid?

In most countries, including the US under the ESIGN Act, electronic signatures are legally valid for most business agreements. For specific document types, check with your lawyer.

### What if it doesn't pay off?

The running cost is small and monthly, and the data stays in your CRM. If you stop, you keep every record and every signed document.
