# Every customer call logged in your CRM, automatically

Your team spends the day on the phone. Some calls get logged in the CRM, most don't, and the ones that do say "called, will follow up". When a customer rings back, whoever answers starts from zero. When a salesperson leaves, their conversations leave with them. And when you ask how many calls it took to win last quarter's deals, nobody can tell you.

The fix isn't asking people to log more carefully. It's making every call log itself. Here's how I connect a business phone system to [Zoho CRM](https://go.zoho.com/jAZ), with Zoom Phone as the main example, and what to decide before you switch it on.

## Decide what a call should leave behind

Before connecting anything, I agree with sales and service what every call must leave on the customer's record: who called whom, when, how long, the outcome, and the next step. I also agree what happens with calls from numbers the CRM doesn't know, and who is responsible for missed calls. Those decisions matter more than the connector you pick.

## What the connection gives your team

Zoho CRM connects to cloud phone systems through its telephony integrations. According to [Zoho's telephony guide](https://help.zoho.com/portal/en/kb/crm/extensions/telephony/articles/working-with-telephony), once connected:

- **Calls start with one click** from a lead, contact or account, instead of copying a number into a phone.
- **Incoming calls show who's calling.** The caller's record pops up on screen before anyone says hello.
- **Every call is logged automatically** in the CRM's Calls module, inbound and outbound, on the right record.
- **Notes go where they belong.** What the rep types during or after the call is saved on the call itself.

Zoho lists more than a hundred phone providers that connect this way, including RingCentral, Aircall, Amazon Connect, Five9 and [Zoom Phone](https://help.zoho.com/portal/en/kb/crm/extensions/telephony/articles/integrate-zoom-phone). For Zoom Phone, you install the connector from the telephony settings in Zoho CRM, authorize your Zoom account, and match each CRM user to their Zoom Phone user.

## How I roll it out

1. **Clean the phone numbers first.** A call can only land on the right record if the number in the CRM matches. I standardize numbers to one international format and flag duplicates before switching anything on.
2. **Agree the unknown-caller rule.** A call from a new number either creates a lead or goes to a person to sort out. It shouldn't silently create clutter.
3. **Map users carefully.** Each rep's phone line is linked to their CRM user, so calls are logged under the right owner and show up in the right reports.
4. **Add outcomes and next steps.** A short list of call outcomes, plus an automatic follow-up task when the outcome calls for one, turns a call log into a pipeline that moves.
5. **Pilot with one team for a week.** Compare calls made with calls logged. When they match, roll out to everyone.

When a phone system has no ready-made connector and I build one, it follows my standard safeguards: it adds call records and never overwrites or deletes anything, every call carries the phone system's call reference on the CRM record so it's never logged twice and can be traced both ways, calls it can't match go to a person, and if it fails, it stops and someone is alerted.

## What it costs: usually nothing extra for the connection itself

As of October 2026:

- **The Zoom Phone connector is free.** [Zoom Phone for Zoho](https://marketplace.zoho.com/app/crm/zoom-phone-for-zoho) is published by Zoho at no charge. You need a Zoom Phone subscription, which you likely already have if this article is relevant.
- **Check your CRM edition.** Zoho's [edition comparison](https://www.zoho.com/crm/comparison.html) doesn't include telephony integrations in the Free or Starter editions; they start from Standard, which costs $14 per user a month billed annually ($20 monthly), per [Zoho CRM pricing](https://www.zoho.com/crm/pricing.html).
- **Your call charges don't change.** Calls are still billed by your phone provider exactly as today. The connection only records them in the CRM.
- **Some third-party connectors are paid,** and some providers charge for call recording. Check your provider's terms before you turn recording on.

A worked example. Assume eight reps who each handle 30 calls a day, and who currently log some of them by hand at about a minute each. Logging everything manually would take four hours of team time a day; in practice, it simply doesn't happen, and that's the real cost. With the connection, logging takes no time and the record is complete. If you're already on Zoho CRM Standard or above and Zoom Phone, the extra cost is the setup.

## Traps to avoid

- **Recording consent.** Some US states and many countries require everyone on the call to agree to recording. Settle the announcement and your policy before switching recording on.
- **Shared numbers.** When several contacts share a company switchboard number, calls may land on the wrong person. Decide which record a shared number belongs to.
- **Personal mobiles.** Calls made from a rep's own phone outside the business phone system won't be logged. Make the business app the default.
- **Logging without outcomes.** A thousand logged calls with no outcome is noise. Keep the outcome list short and required.

## Common questions

### Does the team have to change how they make calls?

Barely. They click a number in the CRM instead of dialing it, and incoming calls arrive as before, with the customer's record on screen.

### Will it record our calls?

Only if you choose to. Logging a call (who, when, how long) and recording it are separate decisions.

### What if we change phone provider later?

Your call history stays in Zoho CRM. You connect the new provider, and new calls keep logging to the same records.

### What if it doesn't pay off?

The connector can be uninstalled in minutes, your phone system keeps working as before, and the calls already logged stay on your records.

Calls are one channel; customers also write.
