Your customers already message your team on WhatsApp. It's fast and personal, and it works, until someone is on vacation, a salesperson leaves, or a manager needs to know what was promised to a customer last month. The conversations live on individual phones, and the business can't see them.
What most owners want is simple: every WhatsApp conversation visible to the right people, on the customer's record, with one business number that belongs to the company. Here's how I'd get there with Zoho CRM, what it really costs, and which traps to avoid.
Before choosing anything, I settle four questions with the business:
With those answers, choosing the tool is the easy part.
Zoho CRM connects to the official WhatsApp Business Platform. Conversations appear in the CRM, your team replies from there, and your CRM's automation can send WhatsApp messages on its own, such as a reminder the day before an appointment. According to Zoho's setup guide, it works in every paid Zoho CRM edition.
Two things to know up front. Zoho's guide asks for a phone number that isn't already in use on WhatsApp, so plan on a dedicated number for the business. And WhatsApp's rules apply: your team replies freely within 24 hours of a customer's last message, but any message you start, such as a reminder, uses a pre-approved message template.
Best for: businesses that want WhatsApp to be part of their CRM processes, with automated messages and a full history on every customer's record.
Some team inbox tools connect the WhatsApp app your team already uses on its current number to a shared inbox, and pass conversations to your CRM through an integration. You keep the number your customers know, and everyone works from one inbox.
Best for: teams whose customers know a specific number that must not change, and who mainly need shared visibility rather than heavy automation.
Other providers offer WhatsApp extensions for Zoho CRM, adding things like campaigns or chatbots, each with its own pricing.
Best for: specific needs the built-in option doesn't cover. Check what the built-in option already does before you pay for an add-on.
This is where most owners expect a nasty surprise. For the official WhatsApp platform, here are Meta's current rules, in effect since July 2025:
In practice: if your team mainly answers customers who write in, WhatsApp itself costs close to nothing. Your spending follows the messages you choose to send, such as reminders and promotions, and those are the messages that bring customers back or prevent no-shows. That's money with a clear return.
The other cost is a one-time setup: verifying your business with Meta, getting message templates approved, and connecting it all to your CRM processes.
Not unless you choose to. The Zoho CRM option needs a number that isn't already used on WhatsApp, so many businesses add a dedicated number for it. If your current number must stay, the second option keeps it.
With a shared business number, the conversations stay with the company, on each customer's record, and a colleague picks them up with the full history.
The official platform is built for businesses. Follow its rules, get customers' consent and use approved templates for the messages you start, and you're working the way WhatsApp intends.
Yes. Start with one team and the messages customers send you, which cost nothing to answer. Add automated reminders once the basics work.
I design this kind of setup end to end, from deciding who owns each conversation to making sure every message lands on the right customer record. See how I brought calls and messages into one CRM for a professional-services firm, or tell me what you want to improve.
