# When your business tools don't talk to each other: a guide for Zoho CRM users

Your customers live in [Zoho CRM](https://go.zoho.com/jAZ). Your invoices live in accounting software, your calls in a phone system, your chats on WhatsApp, your signed contracts in someone's inbox. Each tool works. Together, they leave your team copying data between screens, and you without one clear picture of a customer.

This guide is how I decide what to connect, how to connect it, and what it should cost, for businesses that run on Zoho CRM. It links to my detailed articles on the most common cases. If you're still moving to Zoho CRM, start with [switching CRMs without losing your history](https://liranhaber.com/blog/hubspot-to-zoho-crm-migration).

## Start with the process, not the apps

Most failed integrations connected two apps without deciding what should happen between them. So I start by mapping one process end to end, for example from first inquiry to paid invoice, and answering three questions:

- **Which system owns each piece of data?** The CRM usually owns the customer, accounting owns invoices and payments. Each piece of data gets exactly one home, and the other systems read it from there.
- **What should trigger each step?** A signed contract, an approved timesheet, a paid invoice. Clear triggers keep data from moving too early.
- **Where does a person decide?** Anything unusual goes to someone with a reason, not straight through.

## The four ways to connect Zoho CRM, lightest first

### 1. Built-in Zoho integrations

Zoho apps connect to Zoho CRM out of the box. Zoho Books brings quotes, invoices and sales orders into view in the CRM, Zoho Desk keeps contacts and accounts in sync with support tickets, and Zoho Forms and Zoho Sign take a new client from intake form to signed agreement. If you use several Zoho apps, [Zoho One](https://go.zoho.com/Yg5) bundles them in one subscription.

### 2. Ready-made extensions

The Zoho Marketplace and the CRM's own settings offer connectors for many outside tools. Phone systems are a good example: Zoho lists over a hundred providers, and Zoho's own Zoom Phone connector is free. Read more: [every customer call logged in your CRM](https://liranhaber.com/blog/zoho-crm-zoom-phone-integration) and [customer chats on WhatsApp, visible to your whole team](https://liranhaber.com/blog/zoho-crm-whatsapp-integration).

### 3. Connector platforms

When no ready-made connector exists, a connector platform links apps with "when this happens, do that" steps, without custom software. Zoho Flow is Zoho's own; [Make](https://www.make.com/en/register?pc=liranhaber) and Zapier are popular alternatives. They suit moderate volumes and straightforward rules.

### 4. A custom integration

For high volumes, complex rules or systems without a connector, such as many local payroll providers, I build a dedicated integration on the systems' own interfaces. It costs more upfront and gives you full control. Read more: [hours to payroll without re-typing](https://liranhaber.com/blog/connecteam-payroll-integration).

## The safeguards every integration needs

Whichever route you take, I build in the same four rules:

- **It adds. It never overwrites or deletes.** Your team's corrections stay untouched.
- **Every record carries cross-reference IDs in both systems,** so anything can be traced both ways and nothing is ever sent twice.
- **Exceptions go to a person,** with a clear reason, instead of through automatically.
- **A failed run stops and alerts someone** the same day, rather than sending half the data.

And because integrations move data at speed, mistakes spread fast too. A reliable [CRM backup](https://liranhaber.com/blog/zoho-crm-backup) belongs in the same plan.

## What it costs: pay for what runs, not for what might

Prices as of October 2026, from the vendors' own pages:

- **Built-in Zoho integrations** come with the apps you already pay for. The Zoho Sign extension and Zoho's own Zoom Phone connector for Zoho CRM are free.
- **Zoho Flow** has a free plan with 5 flows and 100 tasks a month. Standard is about $25 a month billed annually ($29 monthly) for 5,000 tasks; Professional is about $41 billed annually ($49 monthly) for 10,000 tasks and adds premium apps. A task is one action in a flow, so a trigger with two actions run once counts as two tasks. There's a 15-day trial, and Zoho says that if you turn on overage, flows keep running past your limit, with extra tasks charged per use ([Zoho Flow pricing](https://www.zoho.com/flow/pricing.html)).
- **Make** has a free plan with 1,000 credits a month and two active scenarios; paid plans start at around $9 a month billed annually for 10,000 credits. Each module action counts as one credit, and routers and error handlers are free ([Make pricing](https://www.make.com/en/pricing)).
- **A custom integration** is a one-time build plus a small running cost for hosting and monitoring.

A worked example. Assume 300 new orders a month, each creating a customer, a deal and an invoice and notifying the team: four actions, or 1,200 tasks a month. That fits comfortably in Zoho Flow Standard at about $25 a month billed annually. Without it, the usual routine is a weekly export from one system and an import into the other, which typically eats a few hours a week of someone's time and leaves the CRM days out of date between imports.

## Traps to avoid

- **Two systems both "owning" the customer.** When both can edit the same fields, they overwrite each other. Pick one owner per field.
- **Assuming a built-in sync covers everything.** For example, Zoho's guide notes that invoices created in Zoho CRM's own Invoices module [don't sync directly to Zoho Books](https://www.zoho.com/us/books/help/integrations/crm-integration.html). Check exactly what a connector moves before you rely on it.
- **Running out mid-month.** On Make, scenarios stop when credits run out until more are added. Size your plan with headroom, and turn on alerts.
- **Nobody owns it.** Every integration needs a named owner and a written description of what it does.

## Common questions

### Which should we connect first?

The process where data is copied most often, or where mistakes cost the most. That's usually between sales and invoicing, or time tracking and payroll.

### Does our team have to learn new software?

Rarely. The point is that they keep working in the tools they know, and the data arrives by itself.

### What if a connected app changes or goes down?

The integration is monitored. A failed run stops and someone is told the same day, and nothing is lost because each run can be repeated safely.

### What if it doesn't pay off?

Start with one process, measure the hours it saves, then decide on the next. Connector plans are monthly, and your data stays in your own systems either way.
