# Getting hours to payroll right every month, without overriding your payroll team

Every pay period, the same thing happens. Hours come out of your time clock app, someone in payroll checks them against what managers said, fixes the obvious mistakes, and loads them into payroll. Then a correction comes in late, and nobody is sure whether the version in payroll is the right one. Your payroll team ends up as the last line of defense against data they didn't create.

Connecting time and attendance to payroll should take that weight off them, not take control away from them. Here's how I approach it, whatever time clock and payroll system you use.

## The real problem is rarely the software

When hours reach payroll wrong, the cause is usually one of three things:

- **Rules nobody wrote down.** How overtime is counted, how a shift across midnight is split, when a break is paid, when leave counts as approved.
- **No clear cut-off.** Managers keep editing hours after payroll has started, so two versions of the truth exist.
- **Two systems fighting.** The payroll team corrects an entry, and the next import quietly puts the old number back.

A connection that ignores these just moves mistakes faster. So the rules come first.

## How I'd approach it

1. **Write the pay rules down with HR and payroll.** One page, agreed and signed off. The integration follows it every time, and so does everyone else.
2. **Agree who owns what.** The time clock owns hours worked. Payroll owns pay. Once an entry is in payroll, payroll's version wins.
3. **Set an approval cut-off.** Managers approve hours by a fixed time. Only approved hours move, and late changes arrive as clearly marked adjustments, never silent edits.
4. **Use the built-in connection if there is one.** Many time clock apps connect directly to common payroll systems. [Connecteam](https://partners.connecteam.com/liranhaber), for example, lists direct connections to QuickBooks Online, Gusto, Paychex Flex, several ADP products and others on [its payroll integrations page](https://help.connecteam.com/en/articles/9178893-what-payroll-integrations-does-connecteam-offer). If yours is listed, start there.
5. **Otherwise, connect them around your rules.** When the payroll system isn't supported, which is common with local providers and outsourced payroll, I connect the two with an automation platform such as [Make](https://www.make.com/en/register?pc=liranhaber) or with a small custom integration. I've covered the Connecteam case in detail in [hours to payroll without re-typing](https://liranhaber.com/blog/connecteam-payroll-integration).

## The safeguards that keep payroll in charge

- **It adds. It never overwrites or deletes.** Anything your payroll team has changed stays exactly as they left it.
- **Every entry carries a cross-reference in both systems.** Each shift is stamped with its matching ID on both sides, so anyone can trace a payroll line back to the clock-in, and the same shift can never be sent twice.
- **Exceptions go to a person.** A 16-hour shift, a missing clock-out or an unknown employee goes to HR with a clear reason, instead of into someone's pay.
- **A failed run stops and alerts someone.** It never sends half a pay period. The right person hears about it the same day.
- **A short summary after every run.** How many shifts moved, how many were held back and why, so payroll signs off on totals, not line by line.

## What it costs: a fixed setup, not an open-ended bill

- **A built-in connection costs nothing extra to build.** If your time clock already connects to your payroll system, the work is configuring it and agreeing the rules.
- **Automation platforms start free.** Make's Free plan includes 1,000 credits a month, and paid plans scale with usage, so a small team's pay-period run often fits in the free or entry tier ([Make pricing](https://www.make.com/en/pricing)).
- **Some time clocks gate their data connection by plan.** Connecteam's API, for example, is [available on the Expert plan or higher](https://developer.connecteam.com/docs/api-access). As of October 2026, Expert starts at $99 a month for the first 30 users on yearly billing, with a 14-day free trial and no credit card needed ([Connecteam pricing](https://connecteam.com/pricing/)). Check this before choosing a route.
- **Custom work is a one-time build.** After that, there's only a small running cost for hosting and monitoring.

A worked example, with stated assumptions: 40 hourly employees, paid every two weeks. Today your payroll administrator exports hours to a spreadsheet, checks them against managers' notes, fixes what looks wrong and uploads the file. Say that takes 5 hours per pay period. Over 26 pay periods, that's 130 hours a year, before counting the cost of correcting a wrong paycheck afterwards. With the connection in place, the same person reviews a short exception list and a summary instead, typically under an hour per pay period.

The spreadsheet route isn't wrong. It's what most businesses do, and it works while the team is small. Re-typing hours by hand is the absolute last resort. The question is how many hours a year the checking costs, and how much risk each manual step adds.

## Traps to avoid

- **Connecting before the rules are agreed.** The integration then encodes one person's guess.
- **Letting the import overwrite payroll.** It feels convenient until it reverses a correction someone made for a reason.
- **Testing on a quiet week.** Test on a pay period with overtime, leave and a late correction, and compare totals line by line with the manual run.
- **Moving more personal data than payroll needs.** Send hours, rates where needed and an employee reference, nothing else.

## Common questions

### Will my payroll team lose control?

No. The integration only adds approved hours. It never overwrites or deletes anything in payroll, and anything unusual is held for a person to decide.

### What if hours are wrong at the source?

Managers still approve hours before anything moves, and suspicious entries go to HR with a reason. Wrong data is caught before payroll, not after payday.

### Does my team have to learn a new system?

Usually not. Employees keep clocking in the same way, and payroll keeps working in the same payroll system. What changes is that the hours arrive already checked.

### What if it doesn't pay off?

Run the first pay periods side by side with your current process. If the totals don't match, or the time saved is small, you stop there. Your data stays where it is in both systems.
