# Switching CRMs without losing your history

You've decided to move from HubSpot to [Zoho CRM](https://go.zoho.com/jAZ), or you're seriously considering it. The software decision is the easy part. The worry is everything else: years of customer history, the automations your team relies on, and a sales team that can't stop selling while you switch.

Zoho has a built-in tool that moves the core of your HubSpot data. Knowing exactly what it moves, and what it leaves behind, is what makes a migration boring in the best possible way. ## What Zoho's migration tool moves

According to [Zoho's migration guide](https://help.zoho.com/portal/en/kb/crm/data-administration/data-migration/articles/migrating-from-hubspot), it brings across contacts, companies, deals, tasks, meetings, calls, notes, products, quotes and their line items, and your users as record owners. It also carries tags, up to ten per record.

## What it leaves behind

- **Your automations and reporting.** Workflows, sequences, forms, reports and email templates aren't on Zoho's list. They need to be rebuilt in Zoho, which is also the right moment to drop the ones nobody uses.
- **Custom objects.** Zoho's guide says custom modules aren't supported in this kind of migration, so anything you built as a custom object needs its own plan.
- **Emails and attached files.** They aren't on Zoho's list of migrated items either, so decide early whether you need them in Zoho or in an archive.
- **Extra tags.** Beyond ten tags per record, or tags longer than 25 characters, the rest don't come across.

## How I run a migration

1. **Take inventory.** What's actually used: pipelines, fields, automations, reports, forms and connected apps.
2. **Clean before you move.** Duplicates, dead fields and deals nobody will touch again. Moving junk takes as much effort as moving what matters.
3. **Design Zoho around how the team works now,** not as a copy of HubSpot. Map every field and pipeline stage to its new home.
4. **Test first.** Zoho lets you undo or rerun the migration three times. I use one run as a full test, check the counts and the links between records, and keep the rest for the real switch.
5. **Switch in a quiet window.** Freeze changes in HubSpot, run the final migration, verify the numbers, then move the team over.
6. **Rebuild, train and archive.** Rebuild the automations that earned their place, train the team, and keep a full export of your HubSpot data.

## What it costs: a one-time move, not an open-ended project

- **The migration tool comes with Zoho CRM,** so moving the core data doesn't need separate software.
- **The real work is preparation:** cleanup, mapping, testing and rebuilding automations. It's done once, and its size is known before you start, because the inventory lists everything that needs rebuilding.
- **Keep the overlap short.** Run HubSpot only until the migration is verified, and export a full copy of your data before you cancel, so no history is ever lost.

For example, if the inventory shows 15 workflows, 10 reports and 3 forms, that's your rebuild list: a defined, fixed piece of work, not an open-ended project. Often it's shorter than people expect, because some of those automations are no longer needed.

## Common questions

### Will we lose our customer history?

Records, notes, calls, meetings and tasks come across. Emails and attached files need their own plan, either an archive or a separate move, and a full HubSpot export keeps everything safe either way.

### How long will the team be disrupted?

The preparation happens while everyone keeps working in HubSpot. The switch itself happens in a quiet window, often a weekend.

### What if something goes wrong?

The test run catches most problems before the real switch, the migration can be undone or rerun, and HubSpot stays untouched until you're satisfied.

### Should we copy HubSpot exactly?
