# Hours to payroll without re-typing, even when your apps don't connect

Your team clocks in and out in [Connecteam](https://partners.connecteam.com/liranhaber). Your payroll runs somewhere else. At the end of every pay period, someone exports the hours, fixes what looks wrong, and uploads or re-types them into payroll. It works until it doesn't: a missed shift, a leave day paid twice, an overtime rule applied by hand. For hourly teams, those mistakes land in people's pay.

Here's how I connect time tracking to payroll when there's no ready-made connection, and how to tell whether it's worth it.

## First, check whether you need anything custom

Connecteam connects directly to several payroll providers, including QuickBooks Online, Gusto, Xero, Paychex Flex, PrismHR, MYOB Business and several ADP products, and offers export templates for a few others. If yours is on [Connecteam's list](https://help.connecteam.com/en/articles/9178893-what-payroll-integrations-does-connecteam-offer), start there. It's the simplest route.

If it isn't, which is common with local payroll providers and specialist payroll services, you have two choices: a manual export every pay period, or an integration built around your process.

## Start with your pay rules, not the software

Most payroll errors aren't technical. They come from rules nobody wrote down: how overtime is counted, what happens to a shift that crosses midnight, when a leave request counts as approved. Before building anything, I sit with HR and payroll and agree those rules in writing. The integration then follows them every time.

## How I build it

- **Only approved hours move.** Nothing reaches payroll until a manager has approved it in Connecteam.
- **It adds. It never overwrites or deletes.** Payroll's own corrections stay untouched, and nothing in payroll is ever deleted. The integration only adds what's missing.
- **Every entry can be traced both ways.** Each shift is stamped with its matching reference in both systems, so anyone can match a payroll entry to the original clock-in in seconds, and the same shift can never be sent twice.
- **Suspect data goes to a person.** A 16-hour shift or a clock-out with no clock-in goes to HR with a clear reason, instead of straight into someone's pay.
- **Every shift lands in the right place.** Hours carry the right site, company or cost center, so reports and invoices come out right.
- **It tells you when something breaks.** If a run fails, it stops and the right person hears about it that day, not at the end of the month.

The connection uses Connecteam's API, which is [available on its Expert plan or higher](https://developer.connecteam.com/docs/api-access).

I've built attendance-to-payroll integrations for a multi-site business with about 300 hourly employees, where the first monthly run delivered about 5,500 shifts into payroll, and for a global sporting event, with about 6,500 shifts across several countries.

## What it costs: a one-time build against a monthly chore

- **If your payroll provider is on Connecteam's list,** use the ready-made connection. No custom work needed.
- **If it isn't,** a custom integration is a one-time build plus a small running cost for hosting and monitoring. You'll need Connecteam's Expert plan or higher for the API.
- **The integration is yours:** documented, maintainable, and built around rules your team agreed.

Now the other side of the scale. Say your payroll administrator spends two days every month exporting, checking and re-typing hours. That's 16 hours a month, about 190 hours a year, before counting the cost of paying someone wrongly and fixing it afterwards. Against that, a one-time build is usually an easy decision, and every monthly run shows whether it's paying off.

## Common questions

### Will it overwrite or delete anything in payroll?

No. It never deletes and never overwrites. It only adds what's missing, so your payroll team stays in control of anything they've changed.

### How do we check what was sent?

Every shift carries its matching reference in both systems, so any payroll entry can be traced back to the original clock-in, and any clock-in forward to payroll, in seconds.

### What if the hours in Connecteam are wrong?

Managers still approve hours before anything moves, and anything that looks suspicious goes to HR with a reason before it reaches payroll.

### What if Connecteam or our payroll provider changes something?

The integration is monitored. If a run fails, it stops rather than sending partial data, and someone is told the same day.

### Is our employees' data safe?

Only the information payroll needs is moved, and access is limited to the accounts that need it.
